AI Workflows
AI workflows that run the same way every time
AI helps you build, a defined and auditable process is executed. This is how you use AI in automation without giving up control – with logging, approvals and error handling routines.

What are AI workflows?
AI workflows combine two things: artificial intelligence that takes work off your hands when designing, and workflow automation that reliably moves processes from system to system.
What matters is where AI steps in. With FLOWSTER, it supports building. What then runs is a deterministic workflow: same inputs, same process, every step traceable. That is exactly what IT operations, auditors and information security need.
AI-assisted automation in four steps
AI helps you build
With FLOWSTER AI Studio you describe what should happen. AI suggests forms, steps and a plan for the process.
You review and approve
The suggestion becomes a visible workflow in FLOWSTER AI Studio. You see every step, adjust it and decide what goes live.
Executed deterministically
Same inputs, same process: what runs is the defined workflow, not a spontaneous decision by a language model.
Fully logged
Every step is logged in an audit-proof way. Error handling routines define what happens when a system does not respond.

AI agent or AI workflow?
Both use AI. The difference is who decides at runtime.
AI agent
- Who decides the next step? The language model, anew on every run
- Result with the same inputs May differ
- Traceability Hard to check why something happened
- Well suited for Open-ended research and writing tasks
AI-assisted workflow with FLOWSTER
- Who decides the next step? The defined process with clear conditions
- Result with the same inputs Always the same
- Traceability Every step visible in the log
- Well suited for Recurring IT and business processes with approvals

Many companies want to use AI, but not processes that nobody can explain anymore. With FLOWSTER, responsibility stays with you: AI makes suggestions, your team approves, and role and permission management defines who may change what.
Because FLOWSTER runs on-premises or in your own cloud, data and processes stay in your environment. Workflow runtime and frequency are unlimited in every edition.
Examples of AI workflows
Onboarding from a description
You describe the process in your own words. AI creates the plan, you review it – and from then on every onboarding runs the same way.
Form by AI, process clearly defined
AI Studio creates the request form. Review, approval and granting of permissions then run as a fixed workflow in FLOWSTER Studio.
Access requests with recertification
Request, role check, approval by data owners, setting permissions and recertification after a deadline – always the same and auditable.
FLOWSTER, n8n or Power Automate: AI in the workflow
All three combine AI with automation. They differ in how much AI decides at runtime and where processes are operated.
| FLOWSTER | n8n | Power Automate | |
|---|---|---|---|
| Role of AI | Helps you build; a defined workflow is executed | AI agent nodes can make decisions within the flow | Copilot helps you create flows |
| Traceability | Every step logged in an audit-proof way | Execution logs depending on plan and deployment | Run history in the Microsoft cloud |
| Limits | No limits on runtime or frequency – in every edition | Cloud plans based on monthly executions | Cloud flows up to 30 days, daily quotas depending on licence |
| Deployment | On-premises or in your own cloud | n8n cloud or self-hosted Community Edition | Microsoft cloud; on-premises systems only via a data gateway |

Frequently asked questions about AI workflows
What are AI workflows?
AI workflows are automated processes supported by artificial intelligence – for example when creating forms and processes. With FLOWSTER, the finished workflow is then executed deterministically, i.e. according to fixed rules.
What does “deterministic” mean?
With the same inputs, a workflow always runs the same way. Every step is defined in advance and traceable in the log. This matters for audits, NIS2 and secure operations.
What is the difference between an AI agent and an AI workflow?
An AI agent decides on every run what happens next. An AI-assisted workflow is created with the help of AI but then runs according to fixed rules. For recurring business processes, this is usually the more reliable choice.
What role does FLOWSTER AI Studio play?
FLOWSTER AI Studio supports you in building: it suggests forms and processes. FLOWSTER Studio executes the workflows, with approvals, error handling routines and logging.
What happens if a step fails?
Error handling routines can be built into every FLOWSTER workflow. You decide how the process reacts.
Are there limits on runtime or number of executions?
No. The runtime and frequency of your workflows are unlimited in every edition, including the free one.
How quickly can a first AI workflow be implemented?
In a few hours instead of days or weeks.
